Conference Room Hire Request Form
Submit this form to check availability, features, and pricing for our conferencing rooms. Provide as many details as possible so we can assist you efficiently.
Booking Confirmation
All bookings remain provisional until a fully completed online booking form is submitted. To confirm the booking, full payment must be received at least 7 days before the booking date. The person responsible for payment must be clearly named on the booking form. For last-minute bookings, full payment is required immediately to secure the space.
Payment
Once your booking form is received, our team will be in touch within 2 working days to confirm details. An invoice will be issued promptly by our finance team. Payment must be made no later than 7 days before the booking. Accepted payment methods include BACS transfer or card payment over the phone. Late payment may result in cancellation of the booking.
Cancellation by YMCA Heart of England
We reserve the right to cancel a booking if: Payment has not been received 7 days prior to your booking. The booking is considered likely to harm the reputation or go against the values of YMCA Heart of England. We become aware of changes to the client’s financial status that may affect the agreement.
Cancellation by You
You can cancel your booking without charge if you give at least 48 hours’ notice. Cancellations made with less than 48 hours’ notice will still be charged in full.
Additional Information
Free parking is available onsite at the front and side of the building. Catering is available — please view our catering options online and request them via the booking form. Catering details will be confirmed during the booking process.
